Our client specializes in the following: Succession Planning, Trust Services, Wills and Estate Services, Advisory Services, Family Governance, Accounting Services and Company Services. They are looking for a Trust administrator to join their team.
POSITION INFO:
Job Title: Trust Administrator (Jnr + Snr)
Location: Sandton - Bryanston
Salary: Market related (depending on experience and qualifications)

Duties and responsibilities:
- To provide professional, consistent end-to-end fiduciary administrative and support services to an allocated portfolio of the Company’s fiduciary clients;
- To build and maintain strong client service relationships to enhance, retain and grow the Company’s business;
- To perform various administrative, servicing, co-ordinating, support and relationship engagement activities;
- To assist with the take-on, administration and on-going servicing of Clients, whether trusts or private client’s affairs, working closely with and supporting other team members within the Company and its Affiliated Companies;
- To take responsibility for the administrative client take-on, ensuring that the required documentation and signatures have been received from all parties involved and to ensure a fully compliant client take-on;
- To create client profiles and records on all systems and platforms according to the client take-on process, making sure that clients and all related parties’ information is loaded as prescribed;
- To save all client information and documentation using the correct naming convention, ensuring that client records are always up to date (at take-on and ongoing);
- To prepare MOHC (Master of the High Court) packs, submitting them to the Master, arranging delivery, filing proof of the Master’s receipt and following them up until finalisation by the Master;
- To ensure that the client trusts function properly and that the client trust deed provisions are accurately observed and adhered to;
- To fulfil and comply with fiduciary duties;
- To ensure that all obligations in terms of client mandates are met;
- To assist with the preparation and compilation of meeting packs, binding them, making meeting arrangements and destroying packs left over after the meetings;
- To attend client meetings, both trust clients and individual clients;
- To prepare and circulate the client minutes of the meetings;
- To assist with the finalisation of tasks and/or to do items after client meetings;
- To take responsibility for payments from client bank accounts, whether or not administered by the Company, i.e. to ensure that client instructions are valid and that all requirements are met, capturing payments and/or beneficiaries, making sure that payments are done and that proof of payments are sent out;
- To distribute bank statements to clients as agreed per trust or entity;
- To assist with the compilation of documents for accounting officers to draft the client trust’s annual financial statements (AFS) and to submit tax returns;
- To take responsibility for updated client records, i.e. payments to take place monthly and on specific future dates;
- To arrange client meetings and investment reviews;
- To ensure that all interactions with clients are handled in a timeous and professional manner, with comprehensive quality responses;
- To attend to general administration with excellent service standards to clients, i.e. ensuring that there is always sufficient stationary for client packs, safe custody coordination, arranging deliveries and/or collections;
- To develop and maintain sound relationships with co-advisors, both internal or external;
- To liaise and communicate effectively and professionally on all client and operations issues, both internally and externally;
- To follow the Company’s processes and procedures, working according to set quality standards and keeping to agreed turn-around times;
- To provide quality input on opportunities and potential threats/risks to the Company’s trust and fiduciary services business unit;
- To meet personal and team key performance targets;
- To assist with or take responsibility for internal projects as they arise;
- To provide team support to all areas within the Company’s business.
Non- negotiable qualifications and experience required:Requirements
- Afrikaans writing and speaking skills are essential, our client has a significant number of Afrikaans-speaking clients.
- Excellent English speaking and writing skills
- Experience: Trust administration experience working with high-net-worth private clients
- Proficiency in MS Word and Excel
- Strong interpersonal skills
- Professional demeanour
- Used to high paced environments
- Ability to work under pressure
- Reliable transport
