CORE PURPOSE OF JOB

Management assistance to the office of the Director: ICT services by providing professional secretarial and administration support in terms of:

• Budget administration and monitoring
• General and project administration functions
• Internal and External public relations and liaison
• English Language and Editorial services

KEY PERFORMANCE AREAS

• Manage the schedules and calendars of the Director. This extends to include arranging meetings coordination and travel arrangements etc.
• Granting access to the ERP system (ITS) and keeping record of the same.
• Coordinating arrangements, meetings and/or conferences.
• Take dictation and write correspondence.
• Prepare reports, presentations and correspondence accurately and swiftly.
• Create and organise information and generate reference tools for easy use.
• Answer and screen telephone calls, and respond to emails, messages and other correspondence.
• Operate and maintain office equipment.
  • Ensure efficient and effective administrative information and assistance.
  • Thorough understanding of clerical and secretarial principles.
  • Organisational skills and detail orientation including filing and record management.
  • Ability to work under pressure and meet deadlines.
  • Good written and verbal communication skills.
  • Proficient in Microsoft Office, and business communication software

REQUIREMENTS

Required minimum education: M+1 qualification in (e.g. secretarial/office management/public relations & communication

Required minimum experience: Atleast 2-4years _work related experience in which competency has been gained.

• Have appropriate knowledge and experience in Office Administration functions.
