Project Coordinator (Modderfontein)

Job Description:
The Project Coordinator will assist the Project Manager in coordinating schedules costings and risks of the company’s projects.
It will be the Project Coordinator’s responsibility to ensure that the company’s projects are well organised by communicating with various departments in the organization to make sure all everyone is well informed and updated on progress.
Key responsibilities:
Providing full assistance with all queries from Line Manger finding out any other information required in order to resolve queries.
This includes but is not limited to:
Direct reporting and assistance to line manager Producing Maintenance dashboard weekly to Line manager Producing
Store Openings Dashboard weekly to Line Manager Assist in managing full Store Openings/Relocations/Closures and processes involved
Manage New Store findings process and team involved and make sure full reports are provided to management Assist with new store findings offers and rental discussions
Responsible for making sure all stores in pipeline follow the correct process.
Checking of payments to all shop fitters before going to line manager
Continuous check-ups and assisting in managing store openings process and shop fitting teams.
Making sure all store opening processes are on time and procurement and drawings are being done in time for successful store openings or relocation
Making sure closures are closely monitored and all processes are followed when closing a store such as hand over sheets, pictures are sent and store is in good condition and full hand over of the project is done with landlord being happy
Checking all procurement filing is correct and signing off before going to line manager
Making sure all procurement prices are correct and if not that alternative suppliers are sourced and checked
Assisting with producing a proper dates list that has all new stores, stores in the pipeline and closures on it with teams scheduled simultaneously with the correct rules applied
Ensuring that the handover from leasing
New store findings is smoothly and correctly done when involving store openings and all necessary information is provided including pictures and drawings from landlords and Store scout If stores aren’t measured, to make sure someone is arranged to measure the store correctly with checklist and pictures after getting quote approved
Assist with emergencies in the department when they emerge or requested to do so
Run New Store process of updating current new store list with Store scout's stores every week, and updating progress of stores currently in the pipeline to happen.
Send list weekly to managers.
Run New Store process of updating new store folders with images and hyperlinks
Making sure all members in leasing store finding team are all on the same page and know exactly what is happening with every single store and can assist if required and can assist if anyone is absent
Ensuring Microsoft teams is used so all members are on the same page.
Making sure stores in the pipeline has a list sent weekly to management regarding progress of the stores already in the pipeline
Sending updated list of which stores were found by the store scout and are in the pipeline to happen and how far he got with the store (eg. Measured, pictures, rental etc.) to line manager weekly Establish positive relationship with Landlords Be available and attentive on the weekends when required with shop fitters and projects happening
Assist where required in the department and when requested by line manager
Assist by signing off maintenance pre quotes before going to line manager
Making sure all leasing filing is in order with correct front pages and all necessary documents inside and soft copies on the server Overall assistance with leasing department where required
Overall assistance with Store Openings/Maintenance department where required
