Office Assistant

SUMMARY:
Provide office administration and support to an EXTREMELY busy practice. Candidate must have high energy levels and in a position to multi task at the highest level.

POSITION INFO:

Veterinary Office Assistant

Minimum Requirements:

3-4 years minimum years of working experience on MS Office Suite (all apps of MS) and Google Docs

Any canine / veterinary related experience

Must love dogs and be a doggy parent

Steady and calm demeanor

Frontline

Experience in a fast-paced environment in an office support function

Strong and proven interpersonal skills – eg. Handling very upset doggy parents

Contactable references essential

Duties:

Focus on e-mails and WhatsApp messages continuously with clients and suppliers

Feedback, any changes of appointments etc. to be documented and briefed at all times

Diary – update sessions move sessions, reschedule paper and document on all office platforms eg. Digitail

Invoicing on Digitail, notes, appointments, invoicing, stock control – invoice for services and products

Sending out information on training, products, boarding, day care, puppy classes

Upkeep of patient records on Excel

Stock take, ordering of stock

Sourcing of new products like toys and food

Documenting of behaviour class notes from consultant

Opening new files, registration forms on email

Follow up with vets for clinical history for each patient

Follow up on patients after they ended their therapy

Take out boarders, assist them to walk etc.

Scheduling puppy classes every 6 weeks

Graduation certificates from puppy classes

Order puppy packs and any other puppy paraphernalia needed

Sending out daily appointment reminders

Reconciling invoices to bank statements

Debt collecting – checking up on payment of invoices

Update board for next day

Upkeep of day care and boarding schedules

Assist with difficult patients e.g. Cutting nails

Upkeep of price list and supplier lists

Setting appointments for accountant, suppliers, therapists

Events – suppliers and vendors eg. CBD evening

Playpark – capturing attendants details mail them information for products or services

All telephonic queries and taking messages

Help designer with marketing media – eg proofread

Take pics and videos for parents of patients in boarding or in therapy

Sometimes assist taking / fetching patients to vets

Arrange servicing of equipment and service technicians
