MICE Project Manager (Meetings, Conferences & Events)

POSITION INFO:

Event Planning and Coordination:

• Manage the full lifecycle of MICE projects from conception to execution.

• Oversee venue selection, transportation, accommodations, catering, and on-site operations.

• Align event strategies with client objectives and company goals.

Logistics and Operations:

• Independently manage logistics for meetings, conferences, and events.

• Create detailed project timelines, budgets, and contracts.

• Ensure seamless event execution through meticulous preparation and oversight.

Budget and Financial Management:

• Track and control event expenses to stay within budget.

• Handle pricing, invoicing, supplier payments, and financial reporting.

• Identify cost-saving opportunities while maintaining quality.

Client and Vendor Relations:

• Foster positive relationships with clients, suppliers, and internal teams.

• Communicate effectively to ensure client satisfaction and goal alignment.

• Resolve any service issues with vendors and escalate when necessary.

Compliance and Reporting:

• Ensure all events comply with company policies and client guidelines.

• Manage and maintain accurate data in project management systems like Qondor/AGM.

• Prepare post-event reports, evaluations, and recommendations for improvement.

Qualifications and Requirements:

• Education: Matric and a Diploma in Travel and Tourism or a relevant qualification.

• Experience: Minimum of 5 years in a MICE/travel environment, with at least 3 years in a MICE-specific role managing logistics.

• Proven track record in meetings, events, and conferencing.
