Our client is seeking a Junior Camp Coordinator (6-month – 1-year contract) to join their team in the Hoedspruit area. This role will entail overseeing the daily operations and administration of the camp, ensuring smooth logistics, compliance, and an efficient working environment. The role is ideal for a detail-oriented, organized individual with strong communication and problem-solving skills.

Key Responsibilities

1. Compliance & Conduct

• Manage the collection of ID copies and signed indemnity forms for suppliers, students, and visitors.
• Ensure all students and visitors read, sign, and adhere to the camp's code of conduct and concession rules.

2. Pre-Course Preparation

• Organize electronic course folders and student listings.
• Confirm and update student arrival details, sharing information with the Head Trainer.
• Prepare welcome letters, student packs, and course documentation.
• Manage stock and ensure sufficient food, fuel, gas, and firewood for the first two weeks of each course.
• Ensure student and visitor accommodations are prepared before arrival.

3. Stock Control & Inventory Management

• Oversee food, fuel, gas, and camp equipment inventory.
• Report any losses or damages to the Head Trainer and Operational Manager.

4. Administrative Duties

• Maintain camp communication tools (radio, Starlink).
• Keep vehicle logbooks, rifle logbooks, and essential documentation up to date.
• Ensure all invoices, financial documents, and reports are organized and submitted promptly.
• Support trainers with logistical needs, including printing, copying, and test administration.
• Track camp supply requests, update inventory records, and follow up on deliveries.

5. Kitchen & Food Oversight

• Ensure meals align with the daily menu and manage ingredient distribution.
• Place food orders in coordination with stock levels and supplier deliveries.
• Monitor fridge and freezer conditions, reporting any irregularities.
• Minimize food waste when preparing for camp closure periods.

6. Camp Maintenance & Housekeeping

• Ensure camp facilities are clean, organized, and maintained using checklists.
• Oversee housekeeping tasks for camp leaders.
• Address infrastructure issues and liaise with trainers to maintain common areas.
• Monitor library books, binoculars, first aid kits, and other camp resources.
• Manage fire extinguisher servicing and regular equipment checks.

7. Additional Responsibilities

• Assist in training activities and other operational tasks as required.

• Prior experience in camp coordination, hospitality, or administration is advantageous.
