Our client is a distributor of high-quality home, garden and outdoor products.

Job Summary:

The Head of Operations is responsible for overseeing the company's daily operations. This role involves optimising operational workflows to ensure timeous delivery of goods to clients, managing the relationship and effectiveness of our outsourced delivery partners and managing the returns process from stores. This requires a detailed focus on tracking stock movements through the supply chain. The candidate will work hand in hand with the CFO to ensure accurate accounting and billing of the stock movement and delivery cluster. The ideal candidate will have a strong background in operations management, excellent leadership skills, and a strategic mindset.

Key Responsibilities

Operations Management:

• Oversee daily business operations to ensure smooth and efficient processes
• Develop and implement operational policies and procedures to enhance productivity and efficiency
• Monitor and analyse key performance indicators (KPIs) to identify areas for improvement
• Coordinate with various departments to ensure alignment and seamless workflow
• Manage inventory levels, ensuring optimal stock levels to meet sales demands, while minimising carrying costs
• Conduct cost analysis and identify areas for cost reduction and process improvement within the logistics chain
• Monitor the movement of goods through tracking systems and resolve any issues or delays in the logistics flow
• Manage the process of handling returned goods and coordinate reverse logistics operations
• Oversee warehouse operations, including storage, picking, packing, and shipping of goods
• Compile cost analysis and identify areas for cost reduction and process improvement within the logistics chain

Procurement Management:

• Develop and implement procurement strategies to ensure timely and cost-effective acquisition of inventory (local and imports).
• Negotiate contracts and agreements with suppliers to secure the best terms and conditions
• Establish and maintain strong relationships with key suppliers and vendors
• Monitor and evaluate supplier performance to ensure compliance with quality and delivery standards
• Conduct market research to stay updated on industry trends and identify potential new suppliers
• Manage procurement processes, including purchase orders, invoicing, and payment reconciliation
• Ensure compliance with procurement policies, procedures, and regulations

Leadership and Team Management:

• Lead, mentor, and develop a team of operations and procurement professionals
• Set performance goals, provide regular feedback, and conduct performance reviews
• Foster a collaborative and positive work environment, promoting teamwork and continuous improvement
• Provide training and development opportunities to enhance team members' skills and knowledge

Minimum Requirements:

• Proven experience in operations and procurement management, preferably in a medium-sized business environment
• Strong understanding of supply chain management, procurement processes, and inventory control
• Strong experience with stock management and control.
• Excellent negotiation, communication, and interpersonal skills
• Strong analytical and problem-solving abilities
• Proficiency in Excel (advanced) and ERP software
• Ability to manage multiple priorities and work under pressure
• Strong leadership and team management skills
• Detail-oriented with a focus on continuous improvement

Qualification Requirement:

• Bachelor’s degree in Business Administration, Operations Management, Supply Chain Management, or a related field. CIMA an advantage

Experience:

• At least 5 years’ experience in operations management

Reports to:

• CFO

Salary Range:

• Market-related, depending on experience

Location:

• Full time and in-office

Team:

• 3 direct reports and outsourced logistics partner (warehousing and logistics)
