SUMMARY:
Remuneration: R35 000 – R40 000 Basic (Negotiable) + standard benefits
 
Our client the owners of automotive and property businesses amongst others, requires a Special Projects Administrator with a strong financial background to handle their Financial Special Projects division.  This is quite a senior role, and the candidate will report directly to the Finance and Operations Manager, attend board meetings and be able to interact with senior management and directors confidently.
 
Purpose Of The Job:
We are seeking a highly competent Financially savvy candidate who has strong End to End Accounts experience who can handle Financial based Special Projects with strong bookkeeping and accounting experience to manage financial processes and compliance across multiple entities, bank account management, reconciliations, payroll processing, financial reporting. This role requires an individual who is confident, professional, and experienced in engaging directly with Directors and Senior Management. The ideal candidate must have the ability to communicate financial insights clearly, maintain a high level of discretion, and present themselves professionally at all times. This is not a traditional administrative role—initiative, problem-solving, and the ability to take ownership of tasks are essential.

Duties:
Bookkeeping & Financial Processing:

• Capture and process bank transactions, supplier invoices, and debtor invoices across
• multiple entities
• Maintain loan account schedules, reconcile intercompany transactions, and circulate to
• relevant stakeholders
• Ensure accurate reconciliation of financials for monthly reporting and year-end
• processes
• Prepare and process salary journals and payroll reconciliations
• Generate, verify, and distribute invoices while tracking payments received

• Perform monthly reconciliations of expense accounts, VAT returns, and creditors
• Maintain and update financial schedules, including Guardrisk reconciliations for
• dealerships
• Track and reconcile cost of sales provisions to ensure accurate financial forecasting
• Assist in audit preparations and liaise with auditors for financial reviews

• Independently collect and analyze daily cash flow requirements for multiple business
• units
• Load and process payments on FNB and Investec, ensuring correct authorizations
• Manage the monthly payment schedule, following up on outstanding invoices
• Ensure all payments are approved and processed on time to maintain financial stability

• Act as the primary liaison for banking communication, including FICA/KYC updates
• Manage bank account openings, closures, and user access administration
• Submit and track compliance documentation with financial institutions

• Confidently engage with Directors and Senior Management, providing clear and concise
• financial updates
• Handle sensitive financial information with professionalism and discretion
• Present financial reports and insights in a structured, professional manner
• Communicate effectively across different levels of the organization, ensuring alignment

• Operate autonomously, taking initiative to resolve financial discrepancies and streamline

• Identify and implement efficiency improvements in financial administration
• Proactively manage workload and ensure deadlines are met without direct oversight

• Diploma or Degree in Accounting, Finance, or a related field
• Experience working in the automotive or financial services industry is beneficial

• Minimum 5 years of bookkeeping/accounting experience in a senior role. Automotive Industry experience would be an added advantage.
• Proficiency in SAGE and Excel (Seriti knowledge is a plus)
• Strong financial reconciliation skills, with experience in managing loan accounts and
• intercompany transactions
• Experience with payroll processing and salary journal preparation
• Proven ability to engage professionally with Senior Management and Directors
• High level of independence—able to manage workload and take initiative without constant
• supervision
