Export Sales & Logistics Coordinator

Main Purpose of the Job:
The purpose of this position is to manage export orders, general export administration and customer care.

Requirements

2 – 3 years relevant experience

Shipping/ Logistics/ Exports/ Trade experience would be advantageous

Key Responsibilities:
Manage Export Orders
Prepare quote for clients based on requirements discussed and facilitate new product development, pricing etc.
Process orders for local and international export customers•
Contact freight agents for rates (courier, airfreight, seafreight)•
Provide all documentation required by the freight forwarders (SAD500, Certificate of Origin, EUR1 Certificates, Air Waybills, Bill of Ladings, Sea Waybills etc.)
Follow up with customers on quotes
Compile shipping instruction sheet listing packing requirements
Forward shipping instructions to Logistics department
Issue collection instructions to freight forwarders
Follow-up with Logistics regarding progress and timing of dispatch
Provide feedback to customers, if there is a delay in production, or stock needs to be ordered from other branches
Compile occasional reports as required by customers (e.g. ingredients declarations etc.)
Issue month-end statements to customers
Manage opening accounts for new customers
Manage orders for export supplies i.e. special crating
Update all tracking spreadsheets
Customer Care
Manage email and telephone customer queries
Log all queried issues with relevant department
Follow up with queries to confirm resolution
Communicate with customers regarding late deliveries
Manage Kenya shipments
Create all documentation required for exporting (Invoices, packing lists, No Sugar declarations, etc.)
Compile and apply for Health Certificates based on information provided by the TIC (Batch codes, Manufacture and expiration dates)
Provide packing instructions to Montague Gardens
If necessary, invoice out packaging at Free of Charge
Compile shipping instruction sheet listing packing requirements and other details (i.e. quantities, contact details, labels etc.)
Request freight quotation from the freight forwarder to have the costs approved
Issue collection instructions to the freight forwarder
Communicate dispatch details to customers
Assist Kenya (and other branches) with order placements, spec sheets, quotes, stock queries, raw ingredient sourcing, sending raw materials to the branch
