JOB CONTEXT:
We are looking for a highly organized and proactive Executive Personal Assistant to support our executive team. The ideal candidate will have exceptional time-management skills, a strong attention to detail, and the ability to handle sensitive information with discretion. The Executive PA will be responsible for managing the executive’s calendar, coordinating meetings, handling correspondence, and ensuring the smooth day-to-day operation of the executive's office. This role requires an individual who is adaptable, reliable, and capable of managing multiple priorities in a fast-paced environment.
Duties and Responsibilities:
Calendar Management:
Organize and maintain the executive’s schedule, including meetings, appointments, and travel arrangements.
Communication Liaison:
Act as the main point of contact between the executive and internal/external stakeholders, handling phone calls, emails, and other correspondence.
Meeting Coordination:
Prepare agendas, take minutes, and ensure timely follow-up on action items from meetings.
Travel Arrangements:
Coordinate all aspects of travel, including flights, accommodation, and itineraries.
Document Preparation:
Draft and proofread reports, presentations, and other documents as required by the executive.
Office Management:
Maintain an organized and efficient office environment, managing office supplies, equipment, and other administrative tasks.
Confidentiality:
Handle sensitive information with discretion and maintain confidentiality at all times.
Special Projects:
Assist with special projects, events, or initiatives as requested by the executive.
Problem-Solving:
Proactively address any issues that arise, providing solutions to ensure smooth operations.
Key Requirements:
- Minimum of 3 years of experience in an administrative or personal assistant role, preferably supporting senior executives.
- Strong organizational, time-management, and multitasking skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
- Excellent verbal and written communication skills, with the ability to interact professionally with stakeholders at all levels.
- Ability to handle sensitive and confidential information with professionalism and discretion.
Qualifications:- Bachelor’s degree or equivalent experience.
Package & Remuneration:- Will be agreed based on qualifications, applicable banking experience and previous earnings.
