JOB CONTEXT:

We are looking for a detail-oriented and highly organized Configuration Officer/Document Controller to join our team. In this role, you will be responsible for overseeing and managing the configuration and documentation processes across various projects. You will ensure all project documents, technical drawings, and specifications are accurately maintained, controlled, and updated throughout their lifecycle. The Configuration Officer/Document Controller will collaborate with project teams, engineers, and other stakeholders to ensure all documentation adheres to company standards and regulatory requirements.

Duties and Responsibilities:

Document Management & Control:

• Oversee the creation, revision, and approval of all project-related documents, including technical drawings, specifications, reports, and correspondence.
• Maintain a centralized, organized document management system to ensure easy retrieval of all project documentation.
• Ensure that all documents are version-controlled, and proper approval workflows are followed.

• Implement and maintain configuration control processes to track changes in documentation, drawings, and technical specifications.
• Ensure that all changes to project documents are properly recorded, reviewed, and approved before implementation.
• Manage and document the configuration baseline for all projects, ensuring alignment between design, development, and production.

• Collaborate with internal teams, project managers, engineers, and other stakeholders to ensure proper handling and distribution of documents.
• Serve as the point of contact for document-related inquiries and provide guidance on document management procedures.
• Work closely with teams to ensure that all required documentation is submitted, reviewed, and filed promptly.

• Ensure all documentation complies with relevant regulatory standards, company policies, and project requirements.
• Perform regular audits of documentation to ensure accuracy, completeness, and compliance with industry best practices.
• Implement and maintain quality assurance processes to ensure all documents are of the highest standard.

• Manage the archiving and safe storage of project documents, ensuring that they are securely stored and easily accessible for future reference.
• Ensure proper handling and secure destruction of outdated or obsolete documents, in compliance with company policies.

• Monitor and report on the status of documentation, providing regular updates to management and project teams.
• Prepare and maintain reports on document control activities, including version history and approvals.

• Minimum of 5 years of experience in document control, configuration management, or a related field.
• Strong knowledge of document management software and tools (e.g., SharePoint, Aconex, Documentum).
• Familiarity with configuration management principles and standards (e.g., ISO 9001, IEC 61508).
• Excellent organizational and time-management skills with the ability to handle multiple tasks simultaneously.
• Strong attention to detail and ability to maintain accuracy in documentation.
• Ability to work under pressure and meet deadlines.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).

• Bachelor’s degree in Business Administration, Engineering, or a related field; relevant certifications in document control or configuration management are a plus.

• Will be agreed based on qualifications, applicable banking experience and previous earnings.
