Our client, an Accounting firm based in Durbanville is looking for a Compliance Manager to join their team of Accounting & Tax Professionals.
The successful candidate will be responsible for the effective management of the secretarial department, including obtaining a good understanding of the Companies Act and the forms and procedures required by CIPC, as well as the Trust Property Control Act and the requirements of the Master of the High Office, in order to assist clients with company/trust secretarial work and to be compliant to the relevant laws and regulations.
KEY PERFORMANCE AREAS
Planning, scheduling and finalising of projects and tasks in the department
Planning, scheduling, finalising and reviewing of department budgets;
Assign work, set performance expectations, assist in problem resolution and monitor progress;
Critical performance areas that will be measured: work in process days, debtors, hours booked, hours invoiced, write-offs, results of quality reviews, customer feedback;
Manage the implementation of general procedures in the department in conjunction with the Practice Manager, to ensure the effectivity and quality of work as well as to comply with relevant laws and regulations
Maintenance of templates: Liaise with Practice Manager in accordance with firm policies
Assist with routine company secretarial duties and annual filings as and when required in compliance with South African company law and regulatory requirements
Prepare Confirmation Letters/ Factual Finding Reports
Be an intermediary (buffer) for assignments and transactions between the secretarial department and other departments in the Firm
Manage of administration of clients on ProfSec, including the take-on and take-off procedures
Maintain client change management on ProfSec
Manage the Annual return compliance process and procedures
- Annual return invoicing & submission
- Financial Accountability Supplement & iXBRL submission
- CIPC Compliance Checklist assistance and submission – Good understanding and knowledge on the required acts of the Companies Act
- Beneficial ownership submissions at CIPC and The Masters Office – Stay up to date on the changes and requirements of the Financial Intelligence Centre Act
Manage the Close-down process on ProfSec and M-files
Ongoing research on new developments and legislative changes applicable to our profession and specific the department and assistance, in conjunction with the Practice Manager, with implementation of procedures to ascertain continuous compliance to laws and regulations
Good understanding and knowledge on the requirements of an Accountable institution as defined in the FIC Act;
- Customer due diligence process
- Establish and verify (FICA) process
Lead department meetings
Pro-active correspondence and follow ups of outstanding issues/tasks with clients and departments in the Firm
Attend to client queries (in conjunction with the Client Partner/Client Manager)
Lead the month-end close process in the secretarial department ensuring timely and accurate reporting;
Timely approval of timesheets/invoices submitted
Timely invoicing for services rendered
Maintenance of work-in-progress and projects
Maintenance of outstanding fees (Annual fee, annual return compliance and company secretarial) in conjunction with the debtor’s administrator
Develop staff by managing performance, setting goals, providing ongoing training, and maintaining strong employee relationships;
Timely evaluation as well as training of company secretarial compliance officers, including their technical and professional development;
Provide company secretarial training to Trainee Accountants
Attend to all ad hoc duties
- Adhere to general office rules and procedures and specific requests from partners, including but not limited to the following (Refer to the Office rules and HR policy):
- Accurate naming of electronic files and filing on the network
- Proper conduct with regards to emails and filing of relevant information on the network not allowed to work on Desktop, without immediately saving on the network
- Good use of language (no swear words) and no spelling mistakes required (reread emails before sending, ask someone to read your email in certain instances)
- No misuse or private use of office equipment or time
- Adhere to proper dress code (professional image required)
