Call Desk Management and Reception

SUMMARY:
An industry leader in lightning protection and earthing systems which is based in the Gauteng province and within Northcliff, is recruiting for an experienced Call Desk Manager and Receptionist

POSITION INFO:
Experience
The successful incumbent must possess at least two (2) years’ experience operating as a receptionist with at least two (2) years’ experience on Pastel.

Formal qualifications

• Matric (grade 12)
• A relevant qualification in Administration
• Literate in the Microsoft Package (Outlook, Excel, Word, PowerPoint etc)
• Knowledge in management systems (Pastel)
• Valid driver’s licence code 08

• Logging all incoming (new) jobs received via e-mail, fax or purchase order on Pastel
• Opening a new file for each job
• Printing out a job card from the system
• Directing the request or problem to the most appropriate support area
• Supplying daily feedback of calls to customers
• Managing the daily work schedule (jobs scheduled daily)
• Managing the Team Schedule daily
• Contacting customers to confirm their availability for the day the installation team is scheduled to attend to requests
• Ensuring that job files and site visit files are available at all times for call logging
• Managing sub-contractors: communication; training, etc.
• Attending staff meetings and other administrative meetings

• Controlling visitors’ access to the office
• Operating switchboard, receiving, and relaying calls to the appropriate recipients
• Taking messages, where necessary, and distributing timeously to the correct recipients
• Handling general enquiries and direct through to the correct recipients, when required
