Monkey and River, a dynamic software design and development consultancy, is seeking an Administrator to form a vital part of our Business Support team. This opportunity is for a full-time position with a hybrid work policy. The ideal candidate for this role should possess some experience in administration and financial reporting.

Responsibilities:

• Create and manage client quotations, invoices, and account statements, ensuring accuracy and timeliness.
• Perform reconciliation of client payments against issued invoices; report on overdue or slow-paying accounts and follow up as needed.
• Generate and maintain business intelligence reports, providing key insights on metrics such as time tracking, expenditure, profitability per consultant, project, client, and department.
• Facilitate orders and payments to suppliers to ensure timely procurement of goods and services.
• Assist in budget preparation and monitor expenses, particularly those related to events, office supplies, and other budgeted items.
• Support business process administration, including insurance claims, professional accreditation applications, and additional ad hoc processes as required.
• Support the planning and execution of social events, celebrations, and team-building activities.
• Update and maintain accurate financial reports, including payroll and expenditure reports.
• Coordinate facility management tasks, such as maintenance arrangements and logistics.
• Monitor the general information email inbox, distributing or acting on correspondence as appropriate.
• Assist with time report submissions, leave processing, and related ad-hoc reporting.
• Verify overtime and payroll calculations for accuracy and ensure alignment with payroll records.
• Maintain comprehensive record-keeping and filing systems for efficient information management.
• Provide administrative support for internal communication and collaboration.
• Answer the office phone and intercom, take messages, and direct visitors or walk-ins appropriately when in the office.

• 2-4 years of experience in an administrative role, ideally within business or financial support contexts.
• A degree or qualification in finance, business administration, or a related field is beneficial.
• Strong attention to detail and numerical accuracy, particularly in financial document preparation and payment reconciliation.
• Solid experience with Microsoft Office Suite and G-Suite; familiarity with financial software or business intelligence tools is advantageous.
• Excellent written and verbal communication skills, ensuring effective professional interactions with internal and external stakeholders.
• Strong interpersonal skills with a customer service mindset.
• Familiarity with basic facilities management and procurement processes.
• Experience in event planning is advantageous.
• Proactive problem-solving abilities and flexibility in handling a variety of business support tasks.
