POSITION INFO:
Roles and responsibilities:

• Identifying and numbering documents that come into the department or organization
• Using an electronic document management system (EDMS) such as Sharepoint and clear folder structures on a server, to index, store and retrieve a wide variety of document types (for example, client emails, client trackers or CAD drawings)
• Reviewing documents/CAD drawings, checking the information is understood, creating revisions and archiving/deleting outdated versions
• Distributing documents to the relevant people, departments or organisations, and letting them know when they need to take action on a document as part of a process and where it can be found on the central servers
• Creating master document templates and forms, and training employees how to use them- if applicable
• Preparing and updating document control procedures for the company
• Making sure that departments are following the correct procedures in the document flow process
• Perhaps carrying out administration duties for specific departments or teams in the organization.
• Project documentation and drawing uploads to Aconex, Sharepoint and other sites as required by our clients
• Have a clear understanding of document naming for different client projects
• Involvement in all aspects of project phases including documentation review and transmittals-
• Filing and checking all incoming and out-going documentation across multiple projects
• Receiving and processing shop drawing reviews
• Creating and managing document numbering systems as per organizational standards
• Corresponding with consultants/contactors/clients about documentation processes
• Setup and managing monthly reporting with project leaders
• Archiving project & organizational records
• Maintaining filing systems and folders
• Internal training of employees on document control processes & basic workflows

• Minimum 2 years’ experience in QA and Document Control, preferably within architecture or construction
• High level of familiarity with Aconex-if applicable
• Ability to build effective relationships
• Demonstrated ability to work autonomously and collaborate with teams
• Excellent communication skills, both written and verbal
• Excellent time management with ability to meet deadlines and manage conflicting priorities
• Strong attention to detail
• Motivated, punctual and prompt to act on support requests

• Tertiary qualification preferred
• Background in Architecture or Construction related to document control Essential
