SUMMARY:
Office Administrator - Temp Assignment (6 months)

Our client based in the heart of George, experts in the field of sustainable plant production and soil health are looking for a strong, numerically minded and organized Office Administrator to join their dynamic team on a temp basis for 6 months.

Duties and Responsibilities include but not limited to:

• General Office Administration:
  • Handling of all office transactions, answering phones, taking messages, assisting where possible, drawing up quotes, answering emails, etc.
  • Faxing and emails – as required
  • Management of office consumables and stationery
  • Ensure general housekeeping is maintained in the office (neat and tidy)
  • Assisting walk in customers
• Logistics Administration
• Processing of orders
• Arranging, coordinating and following up on orders and deliveries
• Oversee back-orders and expedite on receipt to clients
• Financial Administration:
  • Management of Accounts Receivable
  • Management of Accounts Payable
  • Liaising with bookkeepers / auditors as and when required
  • Management of petty cash – balancing and reconciliation
  • Maintaining books daily – updating General manager on any issues / problems, etc.
  • Daily balancing of COD orders / deliveries
  • Assist with collection of any outstanding monies
• Depot Administration
  • Inventory control and administration
  • Cycle counts of fast-moving products
  • Supervision and liaison with the depot personnel
  • Ordering of stock on GM’s approval
  • Data-capturing of invoices
  • Ensure that the Depot is clean and tidy (H&S)
• Marketing
  • Assisting with marketing activities including website, newsletters, social media, etc.
  • Filing of product information, pricelists and upkeep of customer files as well as general administration and office rental, water / lights, etc.
  • Arranging and coordinating of any functions / events, training or meeting sessions that may be required
• General Support
  • Support the General Manager with any tasks, requests / requirements daily
  • Support of the Agriculturist / field marketers

POSITION INFO:
Qualifications:

• Matric coupled with financial and / or administrative certificate / diploma
• Fluent in Afrikaans and English
• Fully computer literate – MS Office Suite (Word / Excel / Outlook /Explorer) and SAGE online
• Own reliable transport
• 3 -4 years in a similar role
