Duties & Responsibilities

Accounts Receivable Administration

• Maintain organization master file information in accordance with the company's credit policy.
• Control debtor credit limits and terms.
• Verify recorded transactions and report any irregularities.
• Prepare, run, and distribute monthly debtor statements, invoices, and credit notes.
• Assist with filing and general office duties.
• Maintain ongoing client reconciliations.
• Allocate receipts in the Winfreight system.

Credit Control

• Ensure timely receipt of outstanding debts.
• Meet cash flow and debtor day targets set by the company.
• Follow up on overdue invoices through phone, email, and letters within agreed timelines.
• Maintain accurate records of collection activities in Winfreight.
• Participate in regular meetings with senior management to manage outstanding debts.
• Identify changes in payment patterns and recommend proactive measures.
• Ensure compliance with company policies for all transactions.
• Manage outstanding proof of delivery documents (PODs).
• Handle disputed invoices and negotiate resolutions to secure timely payments.
• Provide accurate advice on billing queries.
• Respond promptly to client and internal inquiries.
• Prepare files for transfer to debt recovery agents or legal representatives when necessary.
• Provide daily reports as requested.
• Manage document flow according to established processes.
• Prepare hard copies of accounts upon client request.
• Record relevant details (purchase order number, client name, shipment number) on all invoices.
• Ensure no documents are destroyed without proper authorization.

Risk Management

• Identify and manage financial risks related to accounts receivable.
• Ensure compliance with relevant financial regulations and company policies.
• Implement and monitor internal controls to minimize risk.
